ITCS Exchange Service Details
The ITCS Exchange Service is available to campus units. The service is available at this time to departments, not individuals. To initiate using the service, the department representative must contact their ITCom Project Manager. Find contact information for your department's Project Manger.
If you would like more information about the service before contacting your Project Manager, send email to exchange.info@umich.edu.

Service Models
The ITCS Exchange Service can be administered by units in one of two ways. While ITCS can handle all aspects of the Exchange administration (Full Serve), those units who wish to have closer control over the administration of their unit's Exchange environment can do so (Self Serve). The table below outlines some of the differences between the two service models.
| Task |
Full Serve |
Self Serve |
| Create mailbox (user mailbox, departmental mailbox or calendar resource) |
ITCS creates mailbox |
Unit Sys Admin creates mailbox |
| Delete mailbox (user mailbox, departmental mailbox or calendar resource) |
ITCS deletes mailbox |
Unit Sys Admin deletes mailbox |
| Create Email Group |
ITCS creates group in Active Directory and designates it as an email group |
Unit Sys Admin creates group in Active Directory and designates it as an email group, or designates an existing security group as an email group |
| Change user's Display Name |
ITCS changes Display Name upon request |
Unit Sys Admin changes Display Name |
Self Serve
In order to use Exchange in the Self Serve model you must have an Accounts OU and an Orgs OU in the campus Active Directory that you manage for your users. For more information on this see U-M Windows Central Accounts Service.
For more information on managing a Self Serve Exchange environment in your unit, see Exchange Administration for OU Admins.
Full Serve
Once you have set up Exchange for your unit with your Project Manager, you can request Exchange mailboxes through the ITCom Faculty/Staff Order Forms web page.
Additional services requested of ITCS
These services must be performed by the central Exchange administrators. In order to request this service, complete the Exchange Account Modification Form.
| Task |
Description |
User/unit Setup Required |
| Create Departmental Address List |
Address list containing the unit's users, departmental mailboxes, calendar resources and groups using the unit's specified identifier |
Unit must consistently use the identifier to identify mailboxes and name groups |
| Change Mailbox Quota |
Sets the maximum size of the mailbox. See chart above for price structure |
If mailbox has been accessed using Entourage, see Avoiding data loss when using Entourage during a mailbox move BEFORE requesting the quota change |
| Anonymous Web Access to Calendar |
Publish web calendars that anyone can view without having to log in, such as an events calendar and conference room schedules |
To make the calendar viewable, the calendar owner must set the appropriate permissions as detailed in Publishing a Calendar to the Web for Anonymous Access |
| Assign "Send As" Delegation to Mailbox |
Allow one individual to send e-mail "As" the other person. This option must be used with caution because e-mail sent by this individual will appear to be coming directly from the delegated mailbox. |
See Understanding & Configuring Mailbox Access Delegation in the UMROOT Forest for more information on Send As and Send on Behalf of delegation. |
| Restore Mailbox from Backup |
Mailbox will be restored from backup media and delivered to the user in a Personal Storage (.pst) file |
Pay the fee based on the time to restore the mailbox |
Billing
Billing for the ITCS Exchange Service is done once per month and is based on a count of user and departmental mailboxes on the 19th of the month. Calendar resources are provided at no charge unless the number of calendar resources exceeds the number of paid mailboxes. If that occurs, the calendar resources in excess of the number of paid mailboxes will be charged at the Basic mailbox rate ($5/month).
Reports
Units may view reports of the Exchange mailboxes being billed to them through the ITCom Online Service Center.
Service Agreement
By requesting mailboxes on the ITCS Exchange Service, units are indicating their agreement to the Campus Exchange Standard Service Agreement. This Service Agreement details the responsibilities of both ITCS and units participating in the Exchange service. It includes how problems are resolved and how decisions are made regarding the service.
