Your organization can reserve the 4th floor Conference Room (4016) at SORC. The Conference Room seats 20 comfortably and has an active Ethernet connection and a built-in projection screen.
Availability
- This free Conference Room is available on a first-come first-serve basis for student groups.
- Departments may use the conference room for free until 5PM weekdays.
- For weekend and evening department reservations, please visit the Event Services Office (UUES) in Room 1310 Michigan Union.
- Reserve the Conference Room (CR) at SORC during regular business hours.
- You may inquire about availability over the phone, but to book the CR you must come to SORC in person.
- Only authorized signers on your student organization account can reserve the conference room.
- You must provide a valid SOAS or departmental shortcode for all conference room reservations.
- Reservations are taken one semester at a time.
- Reservations for September 1 through December 31 are available starting July 1. (If July 1 falls on a weekend, reservations will begin the first Monday after the Independence Day holiday).
- Reservations for January 1 through April 30 are available starting December 1.
- Reservations for May 1 through August 31 are available starting January 1.
Limitations
- A group may have up to 6 pending reservations for the conference room at any time. This means that if you already have the CR reserved 6 times in the book, you may not reserve any more dates until at least one of the reservations has past. Exception: this limit does not apply to reservations ending by 5pm on weekdays.
- Reservations may not last more than 6 hours.
- Departmental reservations are limited to 7AM-5PM weekdays.
- You may not use the Conference Room when SORC is closed, unless you reserved the space in advance (see below for access instructions).
Building Listings
Reservations placed within 48 hours of the meeting time will not be listed in the Union's scheduling database and, consequently, will not be posted at Campus Information Centers (CIC). In this case, make sure your guests know where the meeting is!
Room Setup
The CR seats 20 comfortably and has an Ethernet connection and a drop-down projection screen for your convenience. The standard set-up for the room is a boardroom for 20. Any alternate room arrangement is your group's responsibility; you must return the room to its original state before leave.
Food / Beverages
You may not bring in food or beverages for meetings from outside the building. To arrange catering, go to the Event Services Office in Room 1310 of the Michigan Union. It is also acceptable to consume food and beverages purchased from food establishments in the Michigan Union, such as the many branded vendors and U-go's convenience store. If you do this, be sure to keep a receipt to show to building staff upon request. Foods from outside may be confiscated by building staff.
Other Expectations
- You may not burn candles in the 4th floor conference room (or anywhere in the Michigan Union).
- You must properly dispose of all trash, papers, etc., in the appropriate recycling bins.
- Posting on walls is strictly prohibited. As stated in UUES policy for use of the Michigan Union, "The Michigan Union is over a century old. We are extremely vested in maintaining its grandeur. To this end, we do not permit taping or tacking on the walls."
- Your organization may incur cleaning, resetting, or equipment replacement fees if it fails to meet any of these requirements. Fees will be assessed to the shortcode that you provide at the time the reservation is placed.
Access
The CR remains locked when not in use; the SORC clerk will unlock the door for you. When SORC is closed, contact the Building Manager at the CIC desk on the first floor. He/She will meet you and let you in. You may not use the Conference Room when SORC is closed, unless you reserved the space in advance. You must check out with the Building Manager when you leave so he/she can inspect the room and make sure its condition is acceptable. You may incur clean-up charges if your group acts irresponsibly in its use of the Conference Room.
