MLK Day Signpost

Important Registration Process Details for
MLK Children & Youth Program

We strongly encourage online pre-registration. We have streamlined the process for this year's event! Using comments from previous events, and relying on the knowledge & help of the "drop-off adults", we expect that pre-registered students will be able to check-in and be in their classrooms within 5 minutes from door to door.

Online registrations will be filed under the initial of the last name of the parent/guardian listed on the form upon submission. There is only one registration form now. Families are encouraged to register on that one form, so only one Fact Sheet is filled out before the event. This one sheet will then be the only form needed to retrieve all students at the end of the day. There is no penalty for listing students who may or may not be able to attend on the pre-registration form. Better safe (listing them all) than sorry (having to do walk-in registration for an add on). Fact Sheets will be filled out by program personnel prior to the day of the event so that pre-registered students are already assigned to classrooms for faster drop off time. Pre-registration will close at 6:00pm the evening before the event.
Using the Pre-Registration System:
1. Upon arrival at the MLB "drop-off adults" will go to the table marked with the initial of the last name of the adult listed on the registration form when it was submitted online.

(MLB = Modern Languages Building located at 812 East Wasington)
2. The "drop-off adult" will then sign the registration form to entrust care of listed child(ren) to MLK Program personnel. In return, the Fact Sheet, which lists all pre-registered child(ren), will be given to the adult. This sheet will then be initialed by the teacher-leader (at the classroom to which the adult brings each child) in acknowledgement of transfer of care. 3. When the "pick-up adult" returns to the MLB to retrieve listed child(ren), he or she MUST have that same Fact Sheet in order for MLK Program personnel to release child(ren) back into the care of parent/guardian.
(we will accept facsimile copies)
Walk-in Registration Process
Walk-in registration is considered anyone who has not filled out the online form for THIS YEAR'S event. The walk-in registrants will be in a separate hallway from the pre-registrants, meaning a completely separate line, where the "drop-off adult" will need to fill out the registration form upon arrival. Once the registration form is completed and signed, the registration personnel will fill out a fact sheet with all listed child(ren)'s name(s) and find them a classroom to which each will be assigned to a teacher-leader for the day. This information will be added to the fact sheet and then handed to the adult to use as a guide for bringing child(ren) to classroom(s). It will also serve as the retrieval paperwork at the end of the day. Again, we strongly encourage pre-registration, even if attendees are just "thinking" of participating. There is no penalty for no-shows. The time it takes to fill out the information on the spot may be more of an inconvenience than taking the time to fill it out online prior to the event. Just remember that pre-registration will close at 6:00pm the Sunday evening immediately prior to the Monday event. ALL participants must have a signed registration form on file in the building the day of the event. If pre-registration has closed, then participants will need to fill out a walk-in registration form the morning of the event.
PLEASE NOTE:
"Drop-off adults" who DO NOT KNOW the initial of the last name of the parent/guardian listed on the pre-registration form when submitted (prior to 6:00pm the evening before the event) will need to fill out a walk-in registration form for all attending participants he or she wishes to drop off. Time will not be taken by registration personnel to look under several different names.
We thank you in advance for your cooperation in our attempt to streamline and expedite the drop-off process for more than 500 incoming K-12 students the morning of the event! We look forward to seeing you on MLK Day!! BUDDY REQUESTS:
If your child is planning to come with, or meet up with, a friend we can place them in the same classroom, as long as the request is indicated clearly on the registration form. Buddies are limited to two per registered name. Large groups of names will be split randomly to even out the same age-group size. We try to keep group sizes under 15. Assigned rooms will NOT be switched the day of the event.
