Description -- Notifications

The Announcements, Resources and Email Archive tools allow emails to be sent to participants alerting them to new announcements, resources, and mail that is sent to the site. Creators of new announcements and resources can choose whether these notifications will be sent and whether they are high priority (everyone gets them immediately), or low priority. Participants can set their preferences so they will or will not receive low priority notifications.


Receiving announcements by email

When an announcement on a site is made, the creator of the announcement can choose whether to send the announcement to site participants via email, and whether it is "high priority" or "low priority." Participants can opt out of receiving low priority announcements.

1... Click Preferences in the left-hand menubar. Note: The Preferences button only appears when you are in My Workspace.

2... Click Notifications in the upper-left corner of the main window under the word Preferences.

-- If you would like to receive announcements as they are created, click the radio button next to "Send me each notification separately."

-- If you would like to receive only one email a day that summarizes the low priority emails, click the radio button next to "Send me one email per day summarizing all low priority announcements." Note that you will still receive high priority announcements as they are created.

-- If you would like to receive only high priority announcements, click the radio button next to "Do not send me low priority announcements."

3... Click Update Preferences after you have made your choices.


Receiving email that is sent to the site

When email is sent to a CTools site, it is also sent to the site's participants. You have several options for receiving this email.

1... Click Preferences in the left-hand menubar. Note: The Preferences button only appears when you are in My Workspace.

2... Click Notifications in the upper-left corner of the main window under the word Preferences.

-- If you would like to receive each email separately, click the radio button next to "Send me each mail sent to the site separately."

-- If you would like to receive only one email a day that summarizes the emails, click the radio button next to "Send me one email per day summarizing all emails."

-- If youdo not want emails sent to the site to also be sent to you, click the radio button next to "Do not send me emails sent to the site."

3... Click Update Preferences after you have made your choices.


Receiving notifications of new resources on a site

When a new resource is made, the creator of the resource can choose whether to send a notification of the resource to site participants via email, and whether the notification is "high priority" or "low priority." Participants can opt out of receiving low priority resource notifications.

Is there a way to reduce the amount of email I get from CTools sites?

You can reduce the amount of email you receive by going to the Preferences area and choosing to receive only high-priority email, as described above.

However, you may want to reduce the amount even more. At present, there is no feature in CTools to do this, but you can set up a mail filter that will redirect all emails you receive with @ctools.umich.edu to a mail folder that you specify. You can also set it up so that emails with @ctools.umich.edu are filtered out, except those that are from a particular site or site(s), such as anthro@ctools.umich.edu.

Description -- Tab Management

You can change the order of the tabs that appear along the top of your CTools screen and the site names in the pull-down menu to the right. In addition, you can choose to have some of your sites not appear either as tabs or as sitenames in the pull-down menu.

1... Open your workspace if it is not already open.

 

2... Click Preferences in the menubar.

 

3... Click Customize Tabs along the top of the main window.

 

You will see two small windows with scroll bars. The window on the right contains all the sites that are visible as tabs or in the pull-down menu with site names. The small window on the left, "My Sites," is a holding place for the sites you make not visible.

 

4... To add site or remove a site from Sites Visible in Tabs list box, select the sitename and use the right or left arrows to move the sitename.

 


Changing the order of the visible tabs

 

1... Open your workspace if it is not already open.

 

2... Click Preferences in the menubar.

 

3... Click Customize Tabs along the top of the main window.

4... To reorder sites in the Sites Visible in Tabs list box, select a site in the list and use the inner up and down arrows to change its position.

Use the outer up and down arrows to move a selection to the beginning or end of the list.


To move multiple sites, select one site, hold down the Control key (or Command on the Mac), and click any other sites. Then click an arrow.

1... Type the number of tabs you would like to make visible in the box next to "Tabs Displayed."
