WGC Constitution

  1. Name
    1. The name of this organization shall be the University of Michigan Women's Glee Club
  2. Mission
    1. The University of Michigan Women's Glee Club shall provide a vocal performance group for women of the university of Michigan community, represent the University of Michigan through the medium of music, and promote the arts at the University of Michigan.
  3. Responsibility
    1. The University of Michigan Women's Glee Club shall be subject to the rules and regulations of the University of Michigan regarding student organizations.
    2. The University of Michigan Women's Glee Club shall be responsible for its internal management and its own perpetuation.
  4. Committees
    1. Executive board
      1. Rationale: The Executive Board coordinates the activities and business functions of the University of Michigan Women's Glee Club. Their duties and privileges may include, but are not limited to the following;
      2. The only standing committee of the Glee Club shall be the Executive Board
      3. The Executive Board may consist of the President, Vice President, Business Manager, Concert Manager, Secretary, Treasurer, Publicity Manager, Music Director, Advisor, and any other position that is deemed necessary by the executive boar
      4. The Executive Board shall be the administrative head of the Glee Club
      5. The executive Board shall be the sole interpreter of this Constitution and its bylaws.
      6. Each member of the Executive Board has an equal vote. A tie shall be considered a non-affirmative vote.
      7. No member of the Executive Board may hold two positions on the Executive Board concurrently.
      8. All members of the Executive Board shall attend all meetings called by the President. Any extenuating circumstances that prohibit this must be discussed with the President.
      9. All members of the Executive Board shall train the new officers.
      10. All members of the Executive Board shall have the right to know the status of all Glee Club accounts at any time.
      11. The President, Treasurer, and Director shall be authorized signers on the operating bank accounts of the Glee Club. Other signers shall be added at the discretion of the Executive Board.
      12. The Executive Board shall decide the amount of dues and all other necessary fees each term.
      13. The Executive Board shall appoint and Advisor
      14. The Executive Board shall vote on all other Glee Club requirements not specified in the Constitution.
    2. Judiciary Committee
      1. Rationale: Any member of the Women's Glee Club whose membership has been revoked by the Executive Board has the right to request a review of revocation by a committee consisting of Executive Board members and fellow Glee Club peers. (see Sec VII E)
      2. A Judiciary Committee consisting of the President, Vice President, and all elected members from each of the four vocal sections of the Glee Club shall convene at the direction of the Executive Board upon the request of a student whose membership has been revoke
      3. At the time of the Judiciary Committee is called, each section shall elect its own e by majority vote. Current Executive Board members are not eligible to represent their sections.
      4. The Judiciary Committee shall be elected at the first possible rehearsal following a member's appeal.
      5. The Judiciary Committee shall convene and render a decision within one week following its election
      6. Each member of the Judiciary Committee, excluding the President and Vice President, shall have an equal vote. A tie shall uphold the Executive Board's decision.
      7. The Judiciary Committee shall have the power to restore a membership which has been revoked by the Executive Boar
    3. Operational Committees
      1. Rationale: To accomplish all tasks necessary within the Glee Club, a number of operational committees will be organized to divide the work loaThe committees' duties may include but are not limited to the followin
      2. There shall be a number of committees divided into categories of work that need to be done by the Glee Club in preparation for concerts, tours, or relations amount club members.
      3. Each member of the Glee Club shall be assigned to one of these committees
      4. Each member of Glee Club shall be expected to attend her committee meeting and do the work associated with that committee
      5. Members of the Glee Club who are graduate students at the University are required to meet with individual Chairs to establish a mutually agreed upon wok schedule.
      6. The number of committees shall be determined by the Executive Board
      7. The Executive Board shall appoint all chairs
      8. All chairs are required to report monthly to their designated Executive Board supervisor.
  5. Executive Board
    1. Voting Members
      1. Elected Officers of the Executive Board
      2. Music Director
    2. Non-Voting Members
      1. Advisor
      2. The elected officers of the Executive Board may include but are not limited to the following positions
    3. President
      1. The duties of the President may include but are not limited to the following:
      2. Call and preside over general Glee Club business meetings, Executive Board Meetings
      3. Have an ex officio membership on all committees
      4. Ensure that all officers do their elected duties
      5. Work with the director
      6. Shall have prerogative to delegate her responsibilities to the appropriate officer(s)
      7. Act as the official representative and contact of the Glee Club
      8. Write thank you notes for all donations to the club
      9. Provide each Glee Club member with a handbook at the beginning of each semester
      10. Shall supervise the Historian and Liasion Chairs
      11. Responsible for the delegation of all other duties that may arise
    4. Vice President
      1. The duties of the Vice President may include but are not limited to the fullowing:
      2. Assist in or assume the executive duties/powers of the President when so delegated by the President
      3. Assume the executive duties and powers of the President if she is unable to complete her duties. The Vice President will huld the Interim-President position until provisions for an election can be held
      4. Assign members of the Glee Club to committees
      5. Plan the Glee Club retreat once per semester
      6. Sell Glee Club paraphernalia
      7. Contact the tailor/seamstress and provide the members with proper concert attire
      8. Arrange for the recording of all concerts
      9. Shall supervise the Alumni Relations Chair
      10. All other duties as they are needed
    5. Business Manager
      1. The duties of the Business Manager may include but are not limited to following:
      2. Organize and supervise all off campus trips with the approval of the Executive Board
      3. Plan and manage Women's Vocal Arts Day
      4. Shall supervise the Webmaster Chair
      5. All other duties as they are needed
    6. Publicity Manager
      1. The duties of the Publicity Manager may include but are not limited to the fullowing:
      2. Responsible for all publicity production
      3. Sell Glee Club paraphernalia
      4. Shall supervise the Merchandise Chair
      5. All other duties as they are needed
    7. Concert Manager
      1. The duties of the Concert Manager may include but are not limited to the following:
      2. Responsible for all programs production
      3. Responsible for coordination for all concert day activities
      4. Organize ticket distribution and sales
      5. Assist with library materials
      6. Retrieving equipment for the Director
      7. Shall supervise the Ticketmaster and Social Chairs
      8. All other duties as they are needed
    8. Secretary
      1. The duties of the Secretary may include but are not limited to the fullowing:
      2. Take attendance at all mandatory Glee Club functions
      3. Make the attendance record available to any member of the Glee Club at any time
      4. Serve as recording secretary for all Executive Board meetings
      5. Cullect all attendance records from committee meetings
      6. Write thank you notes for all donations to the club
      7. Provide each Glee Club member with a Glee Club Directory
      8. Provide a constitution upon request
      9. Update the e-mail group each term
      10. E-mail the Glee Club and Executive Board with the minutes of the Board meetings
      11. Shall supervise the Librarian Chair
      12. All other duties as they are needed
    9. Treasurer
      1. The duties of the Treasurer may include but are not limited to the following:
      2. Keep all account of the Glee Club in balance
      3. Renew all Glee Club accounts
      4. Make sure that adequate signers are available for spring and summer months
      5. Collect and distribute all funds from members and others including Glee Club dues
      6. In consultation with the advisor and president, prepare a budget for the Executive Board
      7. Shall supervise the Fundraising Chair
      8. All other duties as they are needed
    10. Music Director
      1. The duties of the music Director include but are not limited to the following:
      2. The artistic direction of the Glee Club including the selection of the music
      3. Conduction or arranging for a conductor to direct all music rehearsals and concerts
      4. Conducting all auditions
      5. Appointing and assigning the duties for an accompanist for the Glee Club
      6. Appointing an Assistant Director and determining the duties of that person
      7. Participation in the enforcement of the attendance policy
      8. All other duties as they are needed
    11. Advisor
      1. The duties of the Advisor include but are not limited to the following:
      2. Should be connected to the University in some faculty/staff position
      3. Advise the Executive Board as matters arise
      4. Work in conjunction with the Treasurer in preparing budgets for the Executive Board
  6. Selection of Officers
    1. Rationale: Each member of the Executive Board (excluding the Music Director and the Advisor) is elected into office by the members of the Women's Glee Clu
    2. Elections
      1. Any current member of the Glee Club shall be eligible for election to any office excluding the office of the President.
      2. The President must have previously held an elected or appointed position in the Glee Club
      3. Nominations for office shall be accepted from any current member of the Glee Club
      4. Elections shall be held approximately one month before the end of the winter term. Newly elected officers shall then attend the remaining Executive Board meetings for that year
      5. Notice shall be given two weeks in advance of elections, except in extenuating circumstances
      6. A majority of the total membership shall be required to hold elections
      7. Any current officer not running for a new position shall conduct the elections
      8. All members running for office must prepare a short election speech
      9. Non-returning members of the Glee Club shall count the ballots
      10. No absentee or proxy ballots shall be allowed during elections
      11. A simple majority of votes cast shall be required for election
      12. Elected officers of the Glee Club shall assume their duties at the end of the winter term during the Glee Club Banquet
      13. All terms of office shall be one year
      14. If an elected officer is elected or appointed to another position, resigns, or is removed from the position, the Executive Board may arrange for an election to fill the vacancy
    3. Impeachment
      1. A petition signed by one-half (1/2) of the membership of the Glee Club shall be required to bring up an elected officer for impeachment. The petition must be presented to the Executive Board
      2. A three-fourth (3/4) majority of the member ship shall be required to remove an officer from her position.
    4. Appointments
      1. Any member of the Glee Club shall be eligible for appointment to any non-elected position by the Executive Board
      2. If any officer is appointed to another position or resigns from her position, the Executive Board shall make provisions to fill the vacancy
  7. Membership
    1. Rationale: As members of the Women's Glee Club, each individual has a number of rights and responsibilities to upholEach of the following regulations is intact to maintain the integrity and quality of the Women's Glee Club; adherence to and execution of the following regulations and rights will expedite the creations of a unified organization.
    2. Selection
      1. Any female student attending the University of Michigan may audition for membership
      2. Auditions shall be held by the Director in accordance with the membership selection guidelines as defined in the Constitution
      3. Notice for the time and place of the mass meeting and auditions shall be made public
      4. Each candidate shall be given an individual audition and shall be notified of a decision within a reasonable length of time
    3. Voting
      1. A majority of Glee Club members must be present for a vote to be binding
      2. A simple majority vote shall be required to commit the Glee Club to any function not deemed required by the Executive Board
      3. A simple majority of votes of the quorum shall be binding
    4. Attendance Policy
      1. All members must register into the Glee CluAnyone who cannot enroll into the class must submit a written explanation to the Executive Board and consult the Director
      2. Each member shall be allowed two (2) unexcused absences per term.
      3. Any unexcused tardiness or early leave from rehearsal shall be prorated
      4. Excused absences including family emergence, unavoidable exams, illness with a doctor's note, religious holidays, and by the discretion of the Executive Board
      5. Attendance at all business and committee meetings is mandatory
      6. Attendance at all dress rehearsals and concert warm-ups is mandatory. Failure to attend scheduled concerts may be grounds for grade reduction or dismissal. Extenuating circumstances shall be brought up to the Executive Boar
      7. If a member surpasses the allowed number of unexcused absences, she will be asked to meet with the Music Director. The Music Director, in consultation with the Executive Board, shall make the final decision
    5. Grounds for Loss of Membership
      1. Resignation following notification to the Music Director or Executive Board
      2. Failure to comply with the policies outlined in the Constitution
      3. The Executive Board has the power, in extraordinary circumstances involving an indiscretion on the part of a Glee Club member, to revoke membership
      4. The decision to expel a member may be appealed to the Judiciary Committee (as detailed in SeIV B)
    6. Reinstatement
      1. Once a person successfully auditions for the Glee Club, that student shall be automatically reinstated each consecutive term unless she loses her membership or at the discretion of the director
      2. Loss of membership shall be sufficient grounds to permanently deny reinstatement in the group
    7. Retention of Membership after Graduation
      1. Students graduating in the fall semester are welcome to retain their membership in the Glee Club for the winter semester immediately after their graduation (Up to a limit of one (1) additional semester)
      2. Graduated members shall be held to the same membership requirements of non-graduates, exceptions must be authorized by the Executive Board
      3. All students who intend to use this privilege must consult the Executive Board before the date of their Graduation
      4. Students graduating in the winter/spring/ or summer semesters are not permitted to retain membership unless they are a student in a University graduate program or pursuing an additional degree
    8. Alcohol Policy
      1. The University of Michigan Women's Glee Club will enforce all University, state and federal laws and policies regarding the consumption of alcohol at all Glee Club sponsored functions
  8. Ensembles
    1. Membership in any small ensemble associated with the Glee Club shall be contingent upon membership in the Glee Club
    2. The activities of any such ensemble shall be consistent with the welfare of the Glee Club
    3. A representative of any small ensemble shall attend an Executive Board meeting at the request of the Executive Board in order to inform the Executive Board of activities of the ensemble
    4. Membership in any small ensemble is contingent on the requirements established by the members of the small ensemble
  9. Supremacy of the Constitution and its by-laws
    1. This Constitution and its by-laws shall be the sole document governing the activities of the University of Michigan Women's Glee Club
    2. The Constitution and its by-laws shall supersede and replace any former Constitution or by-laws of the Glee Club
  10. Amendments to the constitution
    1. Amendments to this Constitution shall be presented to the Glee Club by the Executive Board where they may originate, or the Executive Board shall act when presented with proposed amendment signed by one-half(1/2) of the total membership of the Glee Club
    2. Each amendment thus presented shall be presented to the Glee Club at two consecutive regular meetings and voted upon at the second meeting
    3. A two-thirds (2/3) majority of the total membership at a properly scheduled meeting is necessary to pass an amendment.
  11. Ratification of the Constitution
    1. This constitution shall be considered ratified and operative only after it has been presented to the Glee Club and signed by two-thirds (2/3) of the total membership
    2. The Constitution should be reviewed as deemed necessary by the Executive Board
