eRAM: Working with Shortcodes

Shortcodes are used for making purchases at U-M, including purchasing animals, equipment and/or other necessities related to eRAM protocols. The eRAM system facilitates the use of Shortcodes by providing functionality to request the use of Shortcodes from other individuals, and the transfer of Shortcodes between protocols.

Within eRAM, Shortcodes can be maintained by a Principal Investigator, ULAM, or a Shortcode Manager who has been designated by a PI.

Manage Shortcodes Tab

Use the Manage Shortcodes tab on your Home Workspace to view the Shortcodes available for your use. A Shortcode must be listed on this page in order to be available when purchasing animals or selecting as a Per Diem Shortcode.

Shortcode Details

Letter Field Description
A Shortcode Details List of the shortcodes you own or manage.
B Update Details Click to view and update information about the shortcode. See the Manage Shortcode Details section of this document for more information.
C Shortcodes The shortcode number.
D Owning PI Last Name/First Name The last and first name of the Principal Investigator who owns the Shortcode.
E Shortcode Manager First Name/Last Name The first and last name of the Shortcode Manager.

Available Shortcodes from Other PIs

Letter Field Description
A Available Shortcodes from Other PIs List of the shortcodes other PIs have loaned you for use in your own protocols.
B Shortcodes The shortcode number.
C Owning PI Last Name/First Name The first and last name of the Principal Investigator who owns the shortcode.
D This PIs Protocol The protocol for which the PI has authorization to use the shortcode.
E Type Types of goods/services the shortcode can be used to purchase.
F Available for Use Indicates if the shortcode is currently available to be used.

Manage Shortcode Details

After clicking Update Details next to a listed shortcode, the Manage Shortcode Details page displays. From this page you can add and update both shortcodes and shortcode managers. Letter Field Description
A Add Click Add to enter a new shortcode.
B Update Click Update to edit the details of an existing shortcode, including authorized protocols and Billing Viewers.
C Shortcode The shortcode number.
D Active in MPathways? Specifies whether or not the shortcode is currently active in M-Pathways.
E Available for Use? Specifies whether or not the shortcode is currently available to use in the eRAM system.
F Type(s) Lists what types of goods/services the shortcode can be used to purchase.
G Persons Authorized to Manage Shortcodes Click Browse... to add a shortcode manager.
H Last Name / First Name/Uniqname The first name, last name and uniqname of the individual(s) authorized to manage shortcodes for the PI.
I Delete Click  Delete to remove the individual as a Shortcode Manager.
